Job Summary

The Transportation Coordinator is responsible for executing the day-to-day activities that will encompass route design and execution, scheduling, issue resolution with haulers, plants, and customers, as well as managing inbound and outbound calls, emails, and texts.

Support and enforce SQF / QA, GMP, HACCP, Safety policies and procedures, and production needs. “Food Safety and Quality” are the responsibilities of this position.

Essential Functions
  • Executes the daily transportation movements for Farm to Plant and Plant to Plant logistics activities according to the predefined plan.
  • Facilitates the routes and scheduling through the supply chain technology software and route optimization software, currently utilizing Milkmoovement.
  • Execute the route plan to optimize freight costs, reduced overall mileage, and ensure customer volumes are met.
  • Escalate issues outside of the plan to the Transportation Supervisor for resolution.
  • Verifies all facilities receive customers’ orders and assist in handling orders and including but not limited to changes throughout the day or week.
  • Gather information for inventories for the previous day’s transportation numbers from the haulers and update throughout the shift.
  • Send notifications regarding milk inventories and other important matters.
  • Assist in tracking “tanker inspections” from the time the tanks are rejected, work with the haulers to repair, and work with the plants to have the repaired tanks re-inspected.
  • Communicate to internal plants and customers by telephone of late and missing loads with proper follow-up.
  • Communicate appropriate information to co-workers between shifts-pass down information to the next shift.
  • Manage a high volume of phone calls and emails throughout the day with proper and timely responses, as needed.
  • Required to work some nights, weekends, and holidays.
  • Follow all safety and working rules.
  • Must have the ability to get along with co-workers, management personnel, customers, vendors, and employees in accordance with company policies and working rules while ensuring a harmonious and conducive work environment.
  • Use initiative and judgment in making decisions, keeping with California Dairies, Inc.’s best interests.
  • Perform other duties as assigned by management.
Qualifications

  • 3 plus years of dispatch experience, strong understanding, and ability to communicate effectively with customers and at all levels of the organization from entry-level to corporate staff.
  • Excellent interpersonal skills and communication skills.
  • Excellent telephone/email skills are required.
  • Must be detail-oriented.
  • Must be willing to ask for assistance when the process is unclear.
  • Must work in a safe and efficient manner and follow all safety procedures including the use of safety equipment when required.

Education and/or Experience

  • High school diploma and other specialized training/equivalent related experience.
  • Dispatch experience in fluid manufacturing is preferred.
  • Basic computational skills required i.e., excel and outlook.
  • Simple math reasoning is required.
  • Proficient in written and spoken English.
  • Excellent organizational, multi-tasking, and follow-through skills.

Language Skills

Excellent communication and interpersonal skills. A well-modulated tonal volume is required with excellent diction skills needed. English is required as the spoken language. Other languages are a definite asset. The job requires frequent communication with personnel in other CDI facilities, including transportation personnel regarding supply inventories. The Transportation Supervisor must be able to communicate effectively and concisely, either verbally or in writing, on any issues relating to the supply inventories.

Reasoning Ability

Must have the ability to apply common sense understanding to carry out instructions given in written, oral, or diagram form. Must have the ability to discern when issues may require input from levels of authority within the corporation. Ability to use discretion and handle sensitive/confidential information.

Lifting/Carrying: May lift boxes weighing 20 pounds on an occasional basis.

Pushing/Pulling: Some pushing or pulling is required on an occasional basis.

Squatting/Kneeling/Bending/Stooping: May squat or kneel on an occasional basis.

Twisting/Turning: Assumes any combination of these positions on a frequent basis.

Climbing/Balancing: May go up and down stairs and/or ladders on an occasional basis.

Reaching: May reach at or above shoulder level frequently.

Grasping/Manipulating: Need full range of motion in both hands for data entry and for using other office equipment including, copiers, calculators, and fax machines, as well as for sorting through and organizing documents.

Equipment

Operates personal computer to enter data and run reports, and other standard office equipment.

Work Environment

The work environment characteristics described here are representative of those an employee encounter while performing the essential functions of this job. The work is performed generally in an office environment, but the employee will be subject to varying degrees of temperature when entering the plant.
